A statement your donors can file
Each statement is a one-page letter on your letterhead. It lists every gift with its date and amount, shows the total for the year, and carries the sentence the IRS requires about goods or services. Churches call it a giving statement or a contribution statement. Other nonprofits call it a year-end donation receipt, a tax receipt or a donor acknowledgment letter. It is the same document.
Your spreadsheet can be messy. Columns can be in any order, names can be written “Last, First”, refunds can be negative amounts, and rows from other years are set aside. Each donor's address is placed to show through a #10 window envelope.
More donors need a statement now. Starting with the 2026 tax year, people who take the standard deduction can deduct up to $1,000 of cash gifts to charity, or $2,000 for a couple filing jointly. For the last few years only people who itemized could. What the IRS requires

Questions
What has to be on a giving statement?
For any single gift of $250 or more, a donor needs a written acknowledgment from you to claim a deduction. It has to show your organization's name, the amount of each cash gift, and a sentence saying whether you gave anything in return. One yearly statement can cover all of a donor's gifts, and that is what this page builds. The IRS lists the details on its page about written acknowledgments, and our guide to the rules puts them in plain English.
Does my donor list get uploaded anywhere?
No. Everything happens in your browser. Your records and the finished statements never leave your computer, and the page loads no outside scripts, trackers or analytics. The only things kept are your organization's details and logo, which are saved in this browser so you don't retype them.
What should my spreadsheet look like?
One row per gift, with a name, a date and an amount. Addresses, funds and payment methods are optional and appear on the statement if you include them. Column names and their order don't matter. You can paste the rows, or open an Excel (.xlsx) or CSV file. The file is read on your computer and is not uploaded.
Will the statements fit window envelopes?
Each donor's address is placed to show through a standard #10 window envelope when the page is folded in thirds. Print one and fold it before you print the whole stack.
Can I email the statements?
Yes. With a pass you can download a separate PDF for each donor and attach each one to an email. The IRS accepts acknowledgments sent by email.
What about gifts that aren't money?
These statements cover gifts of money. For gifts of property or stock, the IRS asks for a description of the gift instead of a dollar value, so write those acknowledgments separately.
Is the pass a subscription?
No. A pass is one payment of $29 with no automatic renewal and no account to create. It covers every statement you make through October 31. Next season you decide again.
I paid. How do I use my pass on another computer, or unlock again?
Right after you pay, you are shown an unlock link and a code. Open the link in the other browser, or choose Unlock there and enter the code. Browsers sometimes clear a site's saved data, so keep the link in case this one forgets your pass. If you have lost it, email us from the address you paid with and we'll send it again.
What if it doesn't work for my records?
Email us within 30 days of paying and we'll refund you in full. If a file won't read properly, tell us what went wrong and we'll try to fix that too.
Is this tax advice?
No. Statement Press formats your records into statements. Check the totals against your books, and ask your accountant if you are unsure what your organization should say.
